PROPERTY ADMINISTRATOR

Purpose

To provide administrative and operational support to the management team, while emphasizing strong tenant relationships.

Provide a high level of professionalism in all matters, including timely response to and resolution of any tenant requests or concerns.

 

Reports To

Property Manager

 

Job Functions

Develop and maintain outstanding tenant relations including development of a program designed to touch all tenants.

Assist in lease administration activities, including maintaining tenant contact information and insurance information; generate reports.

Track and file contracts and insurance certificates; maintain follow-up system for expirations.

Monitor and maintain the property maintenance work order system and provide support to on-site building engineer.

Maintain lease and vendor digital files, as well as other files located within the property management office.

Prepare and coordinate bid proposals and service contracts.

Prepare and code invoices for Property Manager’s approval.

Assist with monthly and quarterly management reports as well as annual budget preparation.

Process tenant billback invoices, expense reports monthly meter readings and check requests for review and approval.

Maintain ethical, professional, and courteous relations with contractors and tenants.

Perform as a helpful team member with all employees.

Provide for the administration of activities related to the physical operation of the property, including supervising contracts, but not limited to:

  • • Operations
  • • Mechanical
  • • Cleaning
  • • Life Safety
  • • Remodeling
  • • Parking
  • • Security
  • • Landscaping

Assist with fiscal activities of the property including, but not limited to:

  • • Processing of accounts payable and accounts receivable
  • • Operations analysis
  • • Rental collection

Assist with all aspects of lease administration, including lease provisions compliance.

Assist with ensuring all government, industry and company required programs are instituted and maintained at the property (i.e., ADA, IAQ, Fire Drills).

Utilize Griffin Essential processes as required.

Represent Griffin Partners in selected business, community and industry organizations and groups.

Carry out other duties as assigned by Manager.

Provide assistance to other departments within Griffin Partners as needed.

Compose business letters, expositions, summaries, and reports, using proper format, punctuation, grammar, diction and style.

 

Experience

Customer service experience preferred.

Proficiency in Microsoft Office Suite.

 

Education

High school diploma/GED equivalent required. Bachelor’s degree preferred.
